The Asser Institute is seeking an Events Manager with a can-do attitude who will be responsible for the seamless delivery of multiple activities of differing levels of complexity for mainly international stakeholders. The individual will be highly proficient in written and spoken English and have organizational, intercultural and interpersonal skills, as well as being capable of multitasking and working under pressure.

The Events Manager reports to the Head of the GCTF Administrative Unit and works closely with all other members of the team. The individual must be able to work independently and proactively on certain tasks, while on other tasks act as an active and flexible team member. The Events Manager is willing and able to work irregular hours, including weekend days, when required, and to undertake travel abroad.

Established in 1965, the T.M.C. Asser Instituut is an independent and internationally renowned research centre in international and European law, affiliated with the University of Amsterdam. The Asser Institute’s mission is to contribute to the development of international and European public and private law. We achieve this by:
Independent legal research: We conduct fundamental, policy-oriented, and applied legal research in international and European public and private law.
Knowledge dissemination: We initiate and facilitate academic and expert meetings, (professional) education, and public events aimed at disseminating knowledge of international and European public and private law. We further share our legal knowledge by adding to the public debate.

Tasks and responsibilities: 

Preparing, planning, organizing, delivering and following-up on GCTF-hosted activities (e.g., plenary, expert and coordination meetings, workshops, consultations) abroad, in the Netherlands or virtually. Tasks include, but are not limited to venue identification; registration processes; preparation of correspondence related to the event (invitations and logistical arrangements); ongoing communication with participants, stakeholders and service providers; and arranging logistical aspects such as transportation, catering, security, interpretation, and accommodation.

  • Information management—creating, maintaining, and updating relevant files and documents, including guidelines and other procedural documents.
  • Building and maintaining relationships with colleagues across the GCTF community and at all levels.
  • Organizing and attending hospitality events related to GCTF-hosted activities.
  • Contributing to communications and outreach materials.
  • Performing other job-related duties as assigned .
  • All employees provide back up for one another.
  • Represent the GCTF Administrative Unit when appropriate

The successful candidate will meet the following requirements:

Experience

  • A relevant Bachelor’s Degree or equivalent
  • At least three (3) years of recent, demonstrable event management in an international environment—experience organizing and delivering on-site events and virtual events is a must.
  • Experience in working in a multi-cultural and multilateral environment
  • Competent working in a deadline-driven, fast-paced environment

Skills/Competencies

  • Good written and verbal communication skills (English). Proficiency in other languages (particularly French and/or Arabic) is a distinct advantage

  • Candidates must have extensive practical experience with computer application such as Microsoft Office365 (Outlook, Word, Excel, Teams, etc.) as well as of various on-line platforms (Zoom, WebEx, etc)
  • A good sense of humour

Our offer 

We offer an appointment for 38 hours a week (1 FTE) for the period of one year with the possibility of extension, ideally begin no later than 1 January 2025. Remuneration depends on the actual level of education, experience, and knowledge, and amounts to a minimum of € 3.502 and a maximum of €4.812 gross per month for full-time work, excluding a holiday allowance (8%) and a year-end bonus (8.3%). The Collective Labour Agreement for Dutch Universities (CAO Nederlandse Universiteiten) is applicable. The UFO Salary scale 9 applies to this position. A temporary reduction in income tax (equal to 30% of taxable salary) may apply to non-Dutch candidates. You will be employed by the University of Amsterdam, Faculty of Law, but seconded to the T.M.C. Asser Instituut in The Hague. Only candidates with permission to work in the Netherlands will be considered.
